Picking a destination is usually the fun part of planning a trip. What’s less exciting is figuring out when you can go.

I’ve spent more time than I’d like to admit staring at a calendar, trying to stretch a few PTO days into the longest possible trip. Once you factor in holiday weekends, flight schedules, work commitments, and your travel companions’ availability, finding the right window can get complicated.

This is where AI can save you a lot of back-and-forth.

Stop wasting PTO on the wrong dates

Give AI your PTO balance, travel preferences, and restrictions, and it can compare date combinations you might not have found on your own.

Can you combine PTO with a holiday weekend? Would you leave Thursday night after work to squeeze out an extra day? Is a red-eye worth it if it means more time at your destination? Small decisions like these can turn five PTO days into nine or 10 days away.

AI won’t know your company’s holiday schedule or when your team gets busy unless you tell it. Give it those details, and it can quickly compare options that would take much longer to map out manually.

Start by giving AI your real-world constraints. The more specific you are, the more useful the plan will be.

Compare several date options that maximize my time away while minimizing PTO used. For each option, include PTO days used, total calendar days away, best departure and return dates (with the day of the week for each), and any trade-offs.

Say you’re based in New York with 15 PTO days and want a 10-day Europe trip. Memorial Day 2027 falls on Monday, May 31st. Take the Friday before it off, plus the four weekdays after, and five PTO days can turn into a 10-day trip, travel days included.

If you only have a few PTO days left, the trade-offs shift. Ask AI to compare a couple of destinations by flight time so you’re not spending half your trip in transit.

Double-check the final calendar

AI is good at spotting patterns, but you’ll still want to double-check the details before making any plans. AI can also get the day of the week wrong for future dates, so check every date against a real calendar. Observed holidays vary by company, and flight schedules often change. Confirm everything yourself before booking.

A holiday weekend might get you more days off, but it can also mean higher prices and bigger crowds. Sometimes the better trip is the one nobody else is booking that same week.
